Cancellations Made Easy: Understanding DVC Rental Guest Cancellation Policies

Planning a Disney vacation is exciting, but we understand that life can be unpredictable. Plans can change, and that’s why at DVC Rental Store, we’ve designed our cancellation policies to provide you with peace of mind and flexibility.

In Part 4 of our Guest Education Series, we’ll walk you through everything you need to know about our cancellation options, how they work, and how they can protect your vacation investment.


Why We Offer Flexible Cancellation Options

We know that booking a Disney vacation is a big decision, and we want to make it as stress-free as possible. Our cancellation policies are designed to protect both our Guests and the Disney Vacation Club (DVC) Members who rent out their points through our platform.

  • Peace of Mind for Guests: Secure your dream vacation without fear of losing your entire payment if plans change.
  • Fairness for DVC Members: Since DVC points have expiration dates, our policies balance Guest flexibility with protecting the value of the Member’s points.

Our Two Cancellation Options

At DVC Rental Store, we offer two cancellation options for your convenience:

1. Stress-Free Cancellation Policy (Included with Every Reservation)

This policy is automatically included with all DVC Rental Store bookings, giving you added security without any additional cost. With this policy:

  • You will receive a credit for future use if you need to cancel.
  • Credits can be used towards another DVC Rental Store reservation within two years of your original travel dates. Credits can not be applied towards Theme Park Ticket purchases or Disney Dining Plan purchases.
  • The value of your credit is determined by how far in advance you cancel your reservation.

2. Cashback Protection Policy (Optional for Added Flexibility)

For those who prefer the option of receiving a refund rather than a credit, we offer the Cashback Protection Policy for an additional fee. This policy provides:

  • A cash refund of eligible funds to your original payment method, based on the time of cancellation.
  • The ability to receive a portion of your payment back, even if you cancel close to your check-in date.

How Our Cancellation Policies Work

Important Details:

  • The value of your credit or refund is calculated based on the amount you have paid at the time of cancellation.
  • Refunds with Cashback Protection are subject to the policy fee being deducted from the refund amount.
  • Credits received under the Stress-Free Cancellation Policy can be used towards future DVC Rental Store reservations for up to two years.  Credits can not be applied towards Theme Park Ticket purchases or Disney Dining Plan purchases.

How to Cancel Your Reservation

If you need to cancel your reservation, simply submit your cancellation request through your Guest Portal.  You will find your upcoming reservation under the “Upcoming Vacations” tab, and will then click on “Request Cancellation”.    

  • Contact Us: Our Team is happy to assist you at any time.  Simply reply to any email you have received from us for your reservation with any questions. 
  • Review Your Options: We’ll confirm your eligible credit or refund amount based on your protection policy and send you a cancellation agreement to sign.
  • Receive Your Credit or Refund: Credits will be applied to your account for future use, while refunds will be processed back to your original payment method if you have Cashback Protection.

Why We Can’t Offer More Flexible Cancellations

One of the most common questions we receive is why we don’t offer even more flexibility with cancellations. The answer is simple—our cancellation policies are designed to protect both Guests and the DVC Members who rent out their points.

  • DVC Members Have Limited Point Use: DVC points expire, and Members must use or rent them within a specific timeframe. A canceled reservation means the Member’s points could go to waste.
  • A Fair Balance: Our policies ensure that Guests have options to protect their vacation investment while also respecting the DVC Member’s ability to use their points.

We’ve spent years perfecting our cancellation options to provide a balance of flexibility, fairness, and protection for all parties involved.


Real-World Examples: How Our Policies Protect You

Let’s take a look at two examples to see how our cancellation policies work in practice:

Example 1: Stress-Free Cancellation

  • You booked a Disney’s Polynesian Villas Studio for $2,000 with our Stress-Free Cancellation Policy, which you’ve already paid for in full.
  • 90 days before your trip, you decide to cancel.
  • Since you are within the 120-61 day window, you will receive a 75% credit for future use, which is $1,500.
  • This credit is available for you to use within the next two years.

Example 2: Cashback Protection

  • You booked a Disney’s Grand Floridian Studio for $3,000 with Cashback Protection, which you’ve already paid for in full.
  • 30 days before your trip, you cancel your reservation.
  • Since you are within the 60-16 day window, you receive a 60% refund, which is $1,800.
  • This refund is issued back to your original payment method.

What If I Need to Cancel Close to My Trip Date?

Our policies provide a clear breakdown of your options, even if you cancel last minute. However, please note that cancellations made within four days of your arrival date are non-refundable.

What If a Hurricane Affects the Florida Area During My Trip?

While hurricanes are a common occurrence in Florida, they rarely have a significant impact on the operation of Disney’s resorts, especially Disney Vacation Club properties, which are considered timeshares and are known for being “always open.” Even during severe weather, Disney Vacation Club resorts are designed to continue operations, providing shelter and services to Guests.

That said, if a hurricane or severe storm is forecasted for the area, your reservation remains valid, and any options available to you are outlined in your signed Rental and Cancellation Agreements. Typically, storms in Florida tend to impact transportation more than resort operations. This means that your biggest concern may be related to travel logistics rather than your resort stay itself.

If you are traveling during hurricane season or are concerned about this possibility, we strongly recommend purchasing travel insurance through a third-party provider. Travel insurance can offer additional protection for airfare, park tickets, and other non-refundable expenses outside the coverage provided by our cancellation policies.
